Company Status

Applies to: All subscriptions

Purpose

Tell an administrator what each company status does, so that a message such as "This company has been archived" is understood in one reading and a suspension is never mistaken for a shutdown.

The one thing to know: a suspended company keeps working. Users sign in, your ERP keeps sending documents, and IRNs and e-way bills are generated, cancelled and printed as normal. A suspension only stops new things being added. Only an archived company is closed.

Audience

The customer's system administrator and compliance owner. Implementation consultants during offboarding or a change of ownership.

Prerequisites

  • Administrator access to your company, to see the effect of a status
  • You cannot change a company's status yourself. Only a Complifly Super Admin can, through the platform. If a status needs to change, contact your Complifly representative (see Steps)

Reference

What each status means

Active Suspended Archived
Users can sign in Yes Yes No
Signed-in users can work Yes Yes No
Your ERP can send documents Yes Yes No
Add a registration (GSTIN), user, API key or ERP connection Yes No No
IRN and e-way bill generation, cancellation, printing, by users Yes Yes No

Work already running is not interrupted. If a bulk IRN job, a write-back delivery or a scheduled check is in progress when a company is archived, it finishes. Archiving closes the doors — sign-in, requests, document intake — and does not reach into work that has already started.

The middle column is deliberate. Complifly does not let a commercial matter stop a statutory filing, so a suspension freezes how the company can grow and leaves the work it already does untouched.

Who sets it, and why

Only a Complifly Super Admin changes a status. Every change records who did it, when, a reason of a stated kind, and a sentence of explanation. The kinds are:

Reason Used when
Security A concern with the company or its credentials
Legal A legal or regulatory instruction
Customer request You asked for it
Operational A platform reason such as a migration or data correction
Offboarding The relationship has ended

A status is never applied automatically. Passing a plan limit, running over a volume or a late payment does not suspend or archive a company. The platform refuses to record a commercial reason for a suspension.

What an archived company sees

Where What happens
Sign-in page This company has been archived. The sign-in is refused and no session is created
A user already signed in Every request is refused with the same message
Your ERP or API key Document intake is refused with 403 TENANT_ARCHIVED
The Complifly Agent The same refusal; the agent can tell it apart from a certificate problem

Your documents and audit history are kept for the retention period. Documents already registered with the government are unaffected.

Steps

If your company is suspended

  1. Carry on working. Nothing you do daily is affected.
  2. If you need to add a user, API key, ERP connection or registration, you will see This company is suspended… (409 TENANT_SUSPENDED). Ask your Complifly representative to reactivate the company first.
  3. Ask for the recorded reason. There always is one.

If your company is archived and you did not expect it

  1. Contact your Complifly representative. Give the company id and the time of the first refusal.
  2. A Complifly Super Admin can see the recorded reason and who set it, and can reactivate the company with a new reason.
  3. After reactivation, users sign in again. No data needs restoring.

Planning an offboarding

  1. Export what you need before the date. Once archived, nobody from your company can sign in to export it.
  2. Tell your integration team: ERP intake stops with 403 TENANT_ARCHIVED, so documents will be rejected, not queued.
  3. Disable (do not delete) any remaining users, in line with User Lifecycle.

Validation

Check Pass condition
You know your company's status Ask your Complifly representative; it is not shown in the product yet
Your integration team knows what archiving does to intake 403 TENANT_ARCHIVED is in their error handling
A suspension is understood as a freeze Nobody has been told to stop issuing documents

Troubleshooting

Symptom Cause Action
This company has been archived at sign-in The company is archived Contact Complifly; see If your company is archived
Everything returns 403 TENANT_ARCHIVED mid-session The company was archived while users were signed in Same
Cannot add a user, key, connection or GSTIN; 409 TENANT_SUSPENDED The company is suspended Ask Complifly to reactivate it; existing work is unaffected
Cannot add a registration, and the company is Active A different limit: an ERP key's plan allows a fixed number of GSTINs (403 GSTIN_LIMIT), or the contract does See License Management
A Complifly administrator says the status was changed "for non-payment" The platform cannot record that reason Ask for the recorded reason; it will be one of the five above
